Acceptance of Terms

By accessing or using this website, you agree to these Terms of Use. If you do not agree, please discontinue use of the site.

For clarity throughout this document:

Prepaid Sessions refer to any prepaid session packages or debit cards purchased in advance for future services. Any reference to “debit cards” elsewhere on the website or during booking is considered the same as prepaid sessions under these Terms of Use.

The Coordinated Office (“TCO”, “we”, or “us”) provides personalized, one-on-one administrative business support. Services may be delivered virtually (via Zoom, Teams, or Google Meets) or in person, depending on availability and agreement.

Billing Location means the country where you or your organization’s primary place of business is located and where you are invoiced for services. 

Services may include, but are not limited to those listed on The Coordinated Office website under the Services tab and identified as the services overview

Services are educational and supportive in nature. Results may vary based on individual needs, experience, and goals.

Booking & Sessions

  • Sessions must be booked in advance through the website or an approved scheduling platform (including Stripe Payment Links)
  • Virtual sessions require a stable internet connection and compatible device.
  • In-person sessions are offered when available and limited by location.
  • Clients are responsible for providing access to their devices during sessions.

Client Responsibilities / Work Requirements

To ensure sessions are productive and successful, clients agree to:

  • Provide access to the devices, software, and/or accounts that will be used during the session.
  • Ensure a stable internet connection for virtual sessions.
  • Have necessary login credentials and permissions ready (e.g., admin access if needed.)
  • Be present and available during scheduled session times.
  • Communicate any technical issues or limitations before or during the session.

Failure to meet these requirements may limit the effectiveness of the session. The Coordinated Office is not responsible for incomplete work or outcomes resulting from the client missing access or information.

Payments, Refunds & Prepaid Sessions

Standard Payments

  • Service prices are clearly listed at the time of booking and are determined on the client’s billing location.
  • Clients with a Billing Location in Canada are priced in Canadian Dollars (CAD). Clients with a Billing Location other than Canada are priced in US dollars (USD), unless otherwise agreed to in writing.
  • Payments are processed through third-party payment processors (eg. Stripe), unless agreed to in writing.
  • While pricing is set in CAD or USD as described above, payment processors may allow clients to complete payment in their local currency and may apply currency conversion at the time of payment.
  • If a purchase is completed using pricing that does not correspond to the client’s Billing Location, The Coordinated Office reserves the right to cancel the transaction, issue a refund and reissue a payment request at the correct Billing Location rate. 
  • You can confirm your Billing Location at the time of checkout to ensure your Bill Location is accurately reflected.  
  • Payment is required to reserve a session.
  • Any applicable cancellation, rescheduling, or refund terms are clearly communicated during booking or on the relevant services or pricing page.

Prepaid Sessions (also referred to as Virtual Debit Cards)

By purchasing Prepaid Sessions either through this website or with a direct payment link, you acknowledge and agree to the following:

  • Prepaid Sessions are non-refundable.
  • Prepaid Sessions expire six (6) months from the date of purchase.
  • Prepaid Sessions may be used only by the original purchaser unless otherwise agreed in writing.
  • You may receive email notifications when your Prepaid Session balance reaches 50% remaining, and periodic reminder notifications thereafter.
  • Unused sessions remaining after the expiration date are forfeited.

Service Conduct and Client Responsibilities

Clients agree to:

  • Provide timely information and feedback needed to complete tasks.
  • Communicate respectfully and professionally.
  • Refrain from requesting unlawful, unethical, or misleading tasks.

The Coordinated Office may decline or discontinue any engagement that violates these principles.

Ownership of Deliverables

  • Deliverables purchased and paid for by the client, including but not limited to document, automations, templates, etc. belong to the client once payment is received in full.
  • Any materials supplied or paid for by the client, including, but not limited to, software, images, written content, etc. remain the sole property of the client and will not be used by anyone else without explicit agreement.
  • The Coordinated Office retains ownership of all background materials, processes, templates, and know-how used to produce deliverables.
  • The Coordinated Office may reuse generic frameworks, tools or concepts developed during client work.

Confidentiality & Client Information

The Coordinated Office respects your privacy and confidentiality.

Any personal or sensitive information you choose to share during services — including login details, passwords, financial information, or business-related materials — is treated as strictly confidential and used only for the purpose of providing agreed-upon support.

The Coordinated Office will not disclose, share, or sell confidential or proprietary client information, including but not limited to:

  • Account or login credentials.
  • Financial or billing information.
  • Contact lists or customer data.
  • Business systems, files, or internal processes.

Confidential information will only be disclosed if required by law or with your explicit permission.

Limitation of Liability

The Coordinated Office provides services on a “best-effort” basis.
 
  • We are not liable for indirect, incidental, or consequential losses, including loss of revenue or data.
  • Our total liability for any claim is limited to the amount paid for the relevant virtual debit card hours purchased from The Coordinated Office.

Termination

Either party may end a working relationship with written notice.

  • Unused prepaid hours remain non-refundable.
  • Any outstanding work in progress will stop once notice is given.
